InstantWelcome for Microsoft® Exchange Server 2007

  Customer Care Center

Updated: 13-January-2009

Purpose

InstantWelcome utility allows you to create and automatically send custom Exchange welcome messages to all your new employees when they sign into Outlook for the first time.
The welcome message might contain some basic information about Exchange, URL for OWA, how to access OWA from home, links to instructions etc.
If your Exchange Mailbox Server has several mailbox stores, you can set up a different welcome message for each store. The application includes a simple HTML editor to create and modify welcome messages.
The application is an Exchange store event sink.

Benefits

Installation

On your Exchange Server 2007 computer:
1. Create or select a mailbox-enabled user account (let's name it "IWAdmin") that is a member of the Domain Admins and Domain Users security groups. That account must have full permissions on the all mailbox stores. Open Exchange Management Shell and execute

    Get-MailboxDatabase | add-adpermission -user IWAdmin -accessRights GenericAll

2. Log on locally as IWAdmin.

3. Create C:\Program Files\InstantWelcome2007\ directory. Download InstantWelcome2007-Demo.zip archive file to this directory and extract all files.

Testing

On your Exchange Server 2007 computer:
1. Run C:\Program Files\InstantWelcome2007\InstantWelcome2007Setup.exe.
2. Click Install button in "COM+ object" frame. Make sure that an example Welcome message #1 from "IT services" with subject "E-mail Filtering Overview" exists in the "Welcome Messages" list.
3. In "Store-wide registration" frame select any mailbox store and set 1 in the drop-down list of "Welcome Message #" column. Click Change button. Make sure that "Welcome Message #" column value is set to 1.

4. Create a new mailbox-enabled user via Exchange Management Console. Do not forget that the mailbox database should be the same as you have set on Step #3.

On any workstation:
5. Log on as a newly created user and open Outlook. Wait about a minute. You'll see new welcome message in the Inbox folder:

InstantWelcome testing 2

We have tested InstantWelcome 2007 with Outlook 2003/2007 and Exchange 2007 SP1 on Microsoft Windows Server 2003 Enterprise x64 Edition SP2. It can work on Microsoft Windows Server 2008 also.

Uninstallation

1. Run C:\Program Files\InstantWelcome2007\InstantWelcome2007Setup.exe
2. Select None in the drop-down list named "Set welcome message to XXXX for all mailbox stores". Click Change button. Make sure that "Welcome Message #" column in "Store-wide registration" frame contains only "None" values.
3. Click Uninstall button in "COM+ object" frame.
4. Click Exit button.
