You cannot restrict certain automatic responses to the Internet based on administrative groups in Exchange 2000 Server or in Exchange Server 2003

Purpose

SelectiveOOF for Exchange 2000/2003 application allows the Exchange administrator to suppress Out of Office replies to the Internet selectively based on sender and recipient e-mail domains or based on sender default SMTP address. The application can be installed on any Exchange 2000/2003 server.

The application is a transport event sink.

Current version: 1.1.0.8

Installation

On your Exchange server computer:

  1. Enable Out-of-Office replies to the Internet globally as described at How to Enable Out-of-Office Replies to the Internet

  2. Select (or create) a user account that is a member of the local Administrators, Domain Admins and Domain Users security groups.

  3. Log on as that user.

  4. Create C:\Program Files\SelectiveOOF\ directory.

  5. Download SelectiveOOF-Demo.zip archive file to C:\Program Files\SelectiveOOF\ directory and extract all files.

  6. Run C:\Program Files\SelectiveOOF\regSelectiveOOF.bat.

Testing

  1. Run SelectiveOOFSetup.exe. Click "Add * (any domain)" button.

  2. Now we need to create an exception rule. Click Add button near the second list. You will see "Add new e-mail domain" dialog window. Place "@yahoo.com" (without quotes) to the field. Click OK.

  3. Open Outlook and click Tools > Out of Office Assistant. Set your OOF reply message and make sure that "I am currently Out of the Office" radio button is selected. Exit Outlook.
  4. Send a message to your Exchange mailbox from any Yahoo e-mail account you can operate. You will receive an OOF reply soon.

  5. Send a message to your Exchange mailbox from any external non-Yahoo Internet address you can operate. You will not receive an OOF reply, as it will be deleted by SelectiveOOF application.

  6. Delete the exception rule that you set earlier. To do that in SelectiveOOFSetup.exe main window click "Delete All" near the second list. You will see "Are you sure you want to delete all items from the list?" prompt. Click Yes.

  7. Open Outlook and click Tools > Out of Office Assistant. Select "I am currently In the Office" radio button. Click OK. Click Tools > Out of Office Assistant again. Select "I am currently Out of the Office" radio button. Click OK. Exit Outlook.

  8. Send a message to your Exchange mailbox from any external Internet address you can operate. You will not receive an OOF reply, as it will be deleted by SelectiveOOF application what has no exception rules now.

  9. Create another exception rule. To do that in SelectiveOOFSetup.exe main window click Add button near the third list. You will see "Add new e-mail address" dialog window. Place your default SMTP address there. Example: "j.doe@domain.com" (without quotes). Click OK.

  10. Open Outlook and click Tools > Out of Office Assistant. Select "I am currently In the Office" radio button. Click OK. Click Tools > Out of Office Assistant again. Select "I am currently Out of the Office" radio button. Click OK. Exit Outlook.

  11. Send a message to your Exchange mailbox from any external Internet address you can operate. You will receive an OOF reply soon.

Do not forget that Exchange will reply only once to each sender when OOF is enabled. To reset the OOF you should disable it and then enable it again.

SelectiveOOF has been tested with Exchange 2000 and Exchange 2003.

Uninstallation

  1. Run SelectiveOOFSetup.exe. Click "Delete All" button near the first list. You will see "Are you sure you want to delete all items from the list?" prompt. Click Yes. Click "Delete All" button near the second list. Click "Delete All" button near the third list. Click "Exit" button.

  2. Run C:\Program Files\SelectiveOOF\unRegSelectiveOOF.bat

  3. Delete C:\Program Files\SelectiveOOF\ directory.

About this demo version.

SelectiveOOF demo version can operate only with the topmost item of each exception list.

F.A.Q.

Q. I receive the following error: "Component ‘MSCOMCTL.OCX’ or one of its dependencies not correctly registered. A file is missing or invalid."
A. Check if you could find mscomctl.ocx file in C:\WINNT\system32 folder. If not, copy it from other computer or from here and register it using Start -> Run and typing "regsvr32 C:\WINNT\system32\mscomctl.ocx" (without quotes).
