SmartMover for MS Exchange 2000/2003

Purpose

An Exchange 2000/2003 mailbox may have multiple SMTP addresses assosiated with it. For example, John Doe has a mailbox with a primary SMTP address of john.doe@company.com and secondary SMTP addresses of johnd@company.com, john2@company.com and john3@company.com. John wishes for emails sent to his secondary SMTP addresses to be automatically placed in 2 folders he has created, "John2" and "John3". Both folders exist on the upper level, i.e. on the same level as Inbox, Outbox etc.
SmartMover for Exchange 2000/2003 application will move messages to specific folders based upon the name part of the recipient's SMTP address.
So, if a message is sent to john2@company.com, it will be moved to the John2 folder, if a message is sent to john3@company.com, it will be moved to the John3 folder. However if a message is sent to johnd@company.com, it will be placed in the default Inbox folder, as there is no JohnD folder in his mailbox. A message sent to john.doe@company.com will also be placed in the default Inbox folder, as john.doe@company.com is his default (primary) address.

The application is an Exchange store event sink.

Benefits

Limitations

1. A folder must exist and be the same name as the name part of the e-mail address (before @) to capture emails.
2. The folder has to be upper-level (i.e. on the same level as Inbox, Outbox etc).

Installation

On your Exchange 2000 Server computer:
1. Create a new mail-enabled user account and make sure it's mailbox alias is SMTEST.

2. Make sure that default (primary) SMTP address of this account is smtest@yourdomain.com. Add three additional SMTP addresses:
SMTEST1@yourdomain.com
SMTEST2@yourdomain.com
SMTEST3@yourdomain.com
Open Outlook as SMTEST and create two folders:
SMTEST1
and
SMTEST2
on the same level as Inbox folder.
3. Select (or create) user account that is a member of the local Administrators, Domain Admins, Domain Users and Exchange Domain Servers security groups. That account must have full permissions on the mailbox store. Open ESM (Exchange System Manager) and drill down to the mailbox store in question. Now open the properties and select the Security tab. Add your account and allow full control.

4. Log on as that user.
5. Create C:\Program Files\SmartMover\ directory.
6. Download SmartMover-Demo.zip archive file to C:\Program Files\SmartMover\ directory and extract all files.
7. Run C:\Program Files\SmartMover\SmartMoverSetup.exe
8. Check Install COM+ object checkbox. Place the #3 account name (using <domain>\<account> syntax) and password in the appropriate fields.

Click CHANGE button.
9. Select in the first (upper) list the SMTEST mailbox and check Register in the following Mailboxes checkbox (THIS DEMO VERSION SHOWS ONLY *TEST* MAILBOXES - see "About this demo version" section below.)

Click CHANGE button. SMTEST mailbox will be placed in the second (lower) listbox.

10. Click Exit button.

Testing

1. Open any SMTP/POP3 e-mail client (for example, Outlook Express) and send a message to SMTEST@yourdomain.com
2. Using Outlook, open SMTEST mailbox. Make sure the message you just sent exists in the Inbox folder.
3. Using SMTP e-mail client, send a message to SMTEST1@yourdomain.com
4. Open Outlook and make sure the message you just sent has been placed to SMTEST1 folder.
5. Using SMTP e-mail client, send a message to SMTEST2@yourdomain.com
6. Open Outlook and make sure the message you just sent has been placed to SMTEST2 folder.
7. Using SMTP e-mail client, send a message to SMTEST3@yourdomain.com
8. Open Outlook and make sure the message you just sent has been placed to Inbox.
9. Open Outlook and create SMTEST3 folder on the same level as Inbox folder.
10. Using SMTP e-mail client, send a message to SMTEST3@yourdomain.com
11. Open Outlook and make sure the message you just sent has been placed to SMTEST3 folder.

I have tested SmartMover with Outlook 2002 and Exchange 2000 SP1/SP2/SP3 on MS Windows 2000 Advanced server and with Exchange 2003 on MS Windows 2003.

Uninstallation

1. Start C:\Program Files\SmartMover\SmartMoverSetup.exe
2. Select all strings in the second mailbox list and mark Unregister from the following mailboxes checkbox.
3. Mark Uninstall COM+ object checkbox.
4. Press CHANGE button. After uninstallation is complete, press Exit button.

About this demo version.

SmartMover demo version works only for mailboxes whose names contain "TEST" value. Examples:
      SmartMover1TEST
      Test2SM
Other mailboxes are unavailable. Also you can not register this demo version for all maiboxes at once (store-wide). The full product version has no limitations.

Q. If I manage to apply SmartMover to the whole Information Store, is SmartMover then automatically applied to future users and mailboxes that are created?
A. Definitely yes.
