SmartReply 2007 for Microsoft® Outlook 2003/2007
SmartReply 2007 is an utility for Exchange Server users who need to send mail from different addresses.
This utility allows an Outlook user the ability to easily select the From address of the new, replied or forwarded message.
The message can be replied with the same From adddress as original message has been sent to.
Also you can set a different signature for each e-mail address.
SmartReply 2007 can be used solely or (preferably) in cooperation with ChooseFrom for Exchange 2000/2003 utility or ChooseFrom for Exchange 2007 utility.
The utility is an Outlook COM add-in.
Typical scenarios of usage
- Scenario 1.
Your company has several company names that it goes under for various aspects of the business. As a result of that, you are running into the need to be able to chose which email address to send from. As the company runs Exchange, IvaSoft ChooseFrom utility has been bought and installed on the server. So far so good, but users complain about the need to fill out the "Have replies sent to:" field every time they need to send as non-default address.
SmartReply 2007 simplifies the process of selection the From address.
- Scenario 2.
You are in an Exchange Server environment and have permission to send on behalf of/send as another user. You can enable the From: field from the view menu of your Outlook and select the appropiate name/address to e-mail from. However you can't assign different signatures to different e-mail addresses then.
SmartReply 2007 can help you to solve this problem. You do not need to install any server-side software like ChooseFrom to implement this functionality.
- Scenario 3.
A combination of previous two scenarios.
Predecessors
SmartReply 2007 completely replaces its predecessors SmartFrom and SmartReply.
Installation
- (Optional) On your Exchange server install ChooseFrom application and test it.
- (Optional) On your Exchange server install our free XrecipientList application and test it.
- (ONLY FOR OUTLOOK 2003) On your workstation enable CDO library as described here.
- Download
SmartReply2007-Demo.zip archive file to any folder on your workstation. Execute SmartReply2007.msi and follow the instructions.
- Run Outlook.
(Outlook 2003) Select Tools > Options > Other > Advanced options > COM add-ins and make sure that SmartReply2007 exists in the list and checked.
(Outlook 2007) Select Tools > Trust center > Add-ins and make sure that SmartReply2007 exists in "Active Application Add-ins" list.
- Select Tools > Options > SmartReply2007. You will see your default (primary) SMTP address in Identities list.

Click "AD addresses" button. Identities list will be populated with your non-default SMTP addresses.

Click "Shared Mbx" button. Identities list will be populated with addresses of your additional mailboxes.

If you do not run ChooseFrom utility on the Exchange server, select <aa@bb.cc> radio button in "Reply-to address format:" frame.
Now click Apply button. You will see the following warning: "Outlook will be restarted to finish the configuration. Restart it now?" Click Yes. When Outlook restarts, make sure that Identities list is still populated.
- Select Tools > Options > Mail Setup (1). Click Send/Receive... button (2). Select All Accounts in the list (3). Click Edit button (4). Select each account that starts with "EX" (5) except the topmost one (default) and untick "Include the selected account in this group" checkbox (6).

Click OK button to close "Send/Receive Settings" window. Click Close button to close "Send/Receive Groups" window. Click OK button to close Options window.
- Navigate to Inbox folder. Open View menu.
(OUTLOOK 2003) Select Arrange By > Current View > Customize Current View...
(OUTLOOK 2007) Select Current View > Customize Current View...
Click Fields... button. Select "All mail fields" from the list on bottom left corner of the form. Select "E-mail Account" field in "Available fields:" list and press Add button.

Click OK button to close Show Fields window. Click OK button to close View Summary window.

Navigate to Sent Items folder and perform the same procedure.

Testing
- Open Outlook and create a new message. Click Account button and select a non-default account from the list.
Place any address you can control in To: field. Fill out Subject and message body.
Send the message. Navigate to Sent Items folder and find a message you just sent. Look at "E-mail account" column.

On the receiving side open the message you just sent. Make sure the From field contains the same non-default SMTP address that you have used initially.

Click Reply button to reply to the message. Click Send button.

In Outlook navigate to Inbox folder and find a message you just sent. Look at "E-mail account" column.
Click Reply button. The new message will appear. Note that the proper account is pre-selected.
SmartReply 2007 has been tested with Outlook 2003 and Outlook 2007 under Microsoft Windows XP/2000/2003/Vista®. We also tested it under Terminal server.
Uninstallation
- Run Outlook and select Tools > Options > SmartReply2007. Click Remove All button to clear the list. You will see the following warning: "Are you sure you want to delete all items from the list?". Click Yes.
- Now click Apply button. You will see the following warning: "Outlook will be restarted to finish the configuration. Restart it now?". Click Yes. When Outlook restarts, make sure that Identities list is empty. Close Options window and exit Outlook.
- Select Start > Settings > Control Panel.
(Windows XP/2000/2003) Select Add or Remove Programs. Select SmartReply2007 in the list. Click Remove button and follow the instructions.
(Windows Vista) Select Programs and features. Select SmartReply2007 in the list. Right-click and select Uninstall. Follow the instructions.
Limitations

SmartReply 2007 can work correctly only if CDO library is installed with Outlook 2003. You do not need to install CDO for Outlook 2007.

You should use ChooseFrom for Exchange 2000/2003 version 1.3.0.2 or earlier to cooperate with SmartReply 2007.
About this demo version.
This demo version of SmartReply utility is fully functional, but will show a splash screen when it loads.
F.A.Q.
Q. I get error messages when receiving mail. All of the alternate "EX" addresses show a message saying "Receiving reported an error, 0x08840900: The server name you entered cannot be found on the network (it might be down temporarily). Please verify that you are online and the server name is correct". I actually get mail, but these messages will be disturbing to other users. What's the matter?
A. You should perform step #9 of Installation section to exclude the fake accounts from Send/Receive group.
Q.
The problem occurs after changing the Active Directory Primary Address.
I tried:
Using the SmartReply2007 tab in Outlook:
- Choose the "Remove" button to remove the alternate address, and Outlook restart
- Choose the "Re-read the Active Directory" button, and Outlook restart
- Choose the "AD Addresses" button, and Outlook restart
After performing this Outlook seems to be correctly configured, the Account list shows the new Primary address and correct alternate address. When Sending or Replying to a message the E-Mail account column for Inbox or Sent Items views shows the chosen From address.
However the emails are all sent with the old default address, when looking at the received email To address in the Outlook message window and using Options Internet headers.
Did I miss something in the re-configure?
A.
Assuming you are running Outlook in cached mode (default setting), try to disable Outlook cache mode, restart Outlook, then enable cache mode and restart Outlook again.
